Effective Date: 18 August 2026

Steward Together is a financial management and accounting application designed for chamas, churches, welfare groups, associations and other member-based organisations.

This Privacy Policy explains how Steward Together collects, uses, stores and protects personal information when individuals and organisations use the service.

  • Mobile telephone number
  • Profile information provided through an authentication provider, such as Google
  • Information required to identify and secure your account

Where you choose to sign in using Google or another authentication provider, Steward Together receives only the information necessary to authenticate you and establish your account, subject to the permissions you grant.

Steward Together does not require access to your Gmail messages, Google Drive files, contacts or other unrelated Google account information merely for you to sign in.

Some of this information may be entered by authorised officials of the organisation rather than directly by the member.

Steward Together may receive and process transaction information from payment providers and financial integrations, including M-PESA.

This may include transaction references, telephone numbers, amounts, dates and other information supplied by the payment provider and required to identify, record, reconcile or account for transactions.

We may collect limited technical information necessary to operate and secure the service, including device information, IP addresses, login activity, application errors and security events.

3. Information Visible to Other Members

Steward Together is designed for organisations whose members may need access to shared financial and organisational information.

Depending on an organisation's configuration and the permissions granted to a user, members may be able to see information such as contribution activity, group financial information, announcements and other information that the organisation has chosen to make available to its members.

Access to individual financial information and administrative functions is controlled by the organisation's settings and user permissions.

Organisations are responsible for selecting appropriate access rights for their users.

4. Organisations Using Steward Together

An organisation using Steward Together controls the membership, accounting and organisational records that it maintains through the service.

Authorised officials of an organisation may create, update and manage information concerning members and transactions in accordance with the organisation's rules and applicable law.

Steward Together processes and stores this information for the purpose of providing the service.

5. Payment Information and M-PESA

Where an organisation connects Steward Together to M-PESA or another payment service, transaction information may be received directly from the relevant payment provider.

Steward Together uses this information to identify, record, allocate, reconcile and report financial transactions.

Steward Together is an accounting and financial management service. Unless expressly stated otherwise for a particular service, Steward Together does not itself hold members' money or operate as a bank, deposit-taking institution or payment provider.

6. Notifications and Communications

Steward Together may send notifications concerning transactions, contributions, loans, organisation activity, announcements, account security and other matters relating to organisations in which a user participates.

Notifications may be delivered through the Steward Together application or through other communication channels made available by the service.

Users may be able to control certain categories of notifications through their application or device settings.

7. Service Providers

We may use trusted service providers to operate parts of Steward Together, including hosting, authentication, communications, payment integration, application distribution and technical infrastructure.

These providers may process information only as necessary to provide their respective services and subject to applicable contractual, security and legal requirements.

8. Data Security

We use reasonable technical and organisational safeguards designed to protect personal and financial information against unauthorised access, alteration, disclosure or loss.

These measures may include access controls, authentication, encryption, audit logging, backups and restrictions on administrative access.

No electronic system can guarantee absolute security, and users and organisations are also responsible for protecting their login credentials and appropriately managing access to their accounts.

9. Data Retention

Information is retained for as long as reasonably necessary to provide Steward Together, maintain appropriate accounting and audit records, meet legal or regulatory obligations, resolve disputes and protect the integrity of the service.

Financial and accounting records may need to be retained after an individual ceases to be a member or an organisation ceases active use of the service.

10. Your Rights

Subject to applicable law, individuals may have rights concerning their personal information, including rights to:

  • Request access to personal information held about them
  • Request correction of inaccurate information
  • Request deletion of information where deletion is legally and operationally permissible
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent

Some information may need to be retained where it forms part of an organisation's legitimate accounting, transaction, audit or legal records.

Requests concerning information maintained by a particular chama, church, association or other organisation should be addressed and processed by that organisation.

11. Children's Information

Steward Together is not intended to enable children to independently create or administer financial accounts unless this is appropriate for a particular organisation and permitted by applicable law.

Where an organisation maintains information concerning minors, the organisation is responsible for ensuring that it has an appropriate lawful basis and any necessary parental or guardian authority.

12. Changes to This Policy

We may update this Privacy Policy as Steward Together develops, new functionality is introduced or legal and regulatory requirements change.

The current version will be made available through the Steward Together website or application, together with its effective date.
